What This Report Does

The Sales Representative Report automatically tracks which team member created each sale, who earned commissions, and what expenses were assigned to each staff member. It's essential for managing sales teams and calculating performance-based pay.

See exactly who created which sales, revenue per person, and individual productivity metrics.

Auto Commission

Automatic commission calculations based on user-specific percentages and sales totals.

Expense Tracking

Monitor expenses assigned to each team member for reimbursement and budgeting.

Automatic Tracking: The system automatically records who creates each sale. No manual entry required!

How to Use the Report

Access the Report

Navigate to the Sales Representative Report from your dashboard.

Login → Reports Menu → Sales Representative

Apply Filters

Select which data you want to see using the three main filters:

User (Sales Rep)

Select specific salesperson or leave blank for all users

Business Location

Filter by specific store/branch or view all locations

Date Range

Select time period (today, this week, this month, or custom range)

Review Summary Metrics

The summary box at the top shows key totals:

Total Sell: 27,000 PKR
Total Sales Return: 0 PKR
Net Sales: 27,000 PKR
Total Expenses: 0 PKR
Total Commission: 810 PKR (3%)

Click through the tabs to see detailed breakdowns of sales, commissions, and expenses.

Understanding the Tabs

Tab 1: Sales Added ⭐ MOST IMPORTANT

Shows all sales created by the selected user. This is the primary tab for tracking who made which sales.

Columns Displayed:

Use This For: Daily performance tracking, identifying top sellers, reviewing individual productivity

Tab 2: Sales with Commission

Shows sales where this user is the commission agent (will earn commission). Can be different from who created the sale.

Note: This tab is useful when managers create sales but assign commission to field salespeople.

Tab 3: Expenses

All expenses assigned to this user for reimbursement tracking and budgeting.

Example Expenses:
  • • Travel costs to client meetings
  • • Meals during business trips
  • • Office supplies purchased
  • • Client entertainment

Tab 4: Payments with Commission (Optional)

Only visible if commission calculation is based on "payments received" instead of "invoice value."

Filter Combinations

Combine filters to get exactly the insights you need for your business decisions.

Date Range Tips

  • Today: Monitor real-time performance
  • This Week: Weekly team meetings
  • This Month: Monthly commission calculations
  • Last 30 Days: Rolling performance trends
  • Custom Range: Specific campaigns or events

Filter Strategies

  • All Users + One Location: Store performance
  • One User + All Locations: Rep mobility
  • One User + One Location + Month: Individual KPIs
  • All Filters Blank: Company-wide overview
  • Date Comparison: This vs last month

Commission Setup

Admin Only: Commission settings require administrator permissions to configure.

Enable User as Commission Agent

User Management → Users → Select User → Edit
  • • Scroll to "Commission Agent" section
  • • Check "Enable User as Commission Agent"
  • • Enter commission percentage (e.g., 3.00 for 3%)
  • • Save changes

Configure Business Commission Settings

Settings → Business Settings → POS Settings
Two Commission Calculation Methods:
Method 1: Invoice Value (Default)

Commission = (Total Invoice × Commission %) / 100

Example: 27,000 PKR × 3% = 810 PKR

Method 2: Payment Received

Commission = (Payments Received × Commission %) / 100

Only pays commission on collected payments

Auto-Assign Commission Agent

Choose how commission agents are assigned to sales:

Logged In User: Person creating sale automatically becomes commission agent
Manual Selection: Select commission agent manually in POS screen

Real-World Examples

Check Today's Sales for One Person

Goal: See how many sales Awais made today

User: Select "Muhammad Awais"
Location: All (or specific location)
Date Range: Today's date

Result: You'll see all of Awais's invoices created today with totals

Monthly Performance Report

Goal: Generate monthly sales report for all staff

User: Leave blank (shows all users)
Location: Main Store
Date Range: 1st to 31st of current month

Result: Complete monthly overview of all sales from main location

Calculate Commission Earnings

Goal: See how much commission Hafiz earned this week

User: Select "Hafiz Kashif Ali" (3% commission)
Date Range: This week (Monday to Sunday)

Calculation Example:

Net Sales: 100,000 PKR
Commission Rate: 3%
Commission Earned: 3,000 PKR

Compare Location Performance

Goal: Which location is performing better?

Step 1: Select Location A, note Net Sales

Step 2: Select Location B, note Net Sales

Step 3: Compare the numbers

Better Way: Leave filters blank, check the Location column in Sales Added tab

Troubleshooting

Problem: Report Shows No Data

Possible Causes:

  • • Date range too narrow (no sales in that period)
  • • Wrong user selected
  • • Location filter excluding all sales

Solution:

  • ✓ Clear all filters (leave everything blank)
  • ✓ Select wider date range (e.g., last 30 days)
  • ✓ Check if sales exist for that period in Sells report

Problem: Commission Not Showing

Possible Causes:

  • • User not enabled as commission agent
  • • Commission percentage set to 0%
  • • Sales don't have commission agent assigned

Solution:

  • ✓ Go to User Management → Edit User
  • ✓ Enable "Is Commission Agent"
  • ✓ Set commission percentage > 0
  • ✓ Check POS settings for auto-assignment

Problem: Sales Missing from Report

Possible Causes:

  • • Sales created by different user
  • • Sale in different location
  • • Sale outside selected date range
  • • Sale is draft/quotation (not finalized)

Solution:

  • ✓ Check who actually created the sale (created_by field)
  • ✓ Remove location filter
  • ✓ Expand date range to cover sale date
  • ✓ Only finalized sales appear (not drafts)

Problem: Cannot Access Report

Possible Cause:

You don't have the required permission to view this report.

Solution:

  • ✓ Contact your system administrator
  • ✓ Request "sales_representative.view" permission
  • ✓ Check your assigned role permissions
